The problem
The schedule sits in P6 or a scheduling platform, cost and RFIs sit in Procore, and the monthly report pastes a screenshot of one next to a table from the other. Nobody can filter both by project, and the schedule view is out of date by the time it is read.
What we build
We bring the schedule into the same reporting model as project and cost data. In our production build, Outbuild milestones come in through its API and are assigned to the right Procore project; in our reference build, P6 XER files are parsed in Power Query and refreshed through a gateway next to Procore RFIs. Schedules without a project match stay visible as unmapped rather than disappearing.

A cloud API for platforms like Outbuild, or the XER export for P6, read from a stable file name and folder so every refresh picks up the latest schedule.

XER files are split by their table, field, and row markers into readable task and project tables; API payloads are landed raw and cleaned.

Each schedule is assigned to its project through the crosswalk; schedules still in pursuit or unmatched appear on a worklist.

Frequently asked questions
Can Power BI read a P6 XER file?
Not directly in a usable form, because an XER file holds many tables in one delimited text file. In our reference build a Power Query script splits it by its table, field, and row markers into proper tables such as TASK and PROJECT.
Can an RFI be tied to a specific P6 activity?
Only if a shared key exists, such as an activity ID captured on the RFI. Putting both in one dataset gives you side-by-side views; linking record to record is a modeling step we plan with you.
Do we need live P6 database access?
No. The XER path works from exports saved to a stable location. Live database or API access is possible but needs its own access review.
Which scheduling tools does this cover?
Our builds cover Outbuild through its API and Primavera P6 through XER. Other tools follow the same pattern if they offer an API or a structured export.
