Monthly Report Replacement

Retire the hand-built monthly Excel report for Power BI that refreshes and checks itself.

The monthly report joins Procore, accounting and schedule data that share no keys, so a person stitches it together by memory every month. Its logic lives in cell formulas nobody has audited, and a spreadsheet accepts a missing project or a wrong value without complaint. When a number is questioned, nobody can quickly show where it came from.

Who it's for

  • General and specialty contractors who still assemble a monthly project or portfolio report in Excel
  • Controllers and project accountants who spend the first days of every month exporting and pasting
  • COOs and presidents who need a portfolio view they can trust without asking who updated the tab
  • Teams running Procore alongside an accounting system such as Sage, Viewpoint or QuickBooks

What you get out of it

  • Report pages that refresh from your source systems on a schedule instead of from exports
  • Measures defined once in a semantic model, so every page calculates cost, billing and margin the same way
  • A quality gate that stops bad data from publishing and keeps the last good numbers on screen when a run fails
  • A source-coverage view and exceptions worklist, so a missing or unmatched project shows up instead of passing as $0
  • A structured home for the inputs no system holds, such as risks, wins and attestations
  • Pipelines, rules, model and report definitions in version control that you own

What's included

Workbook inventory

We read every tab and formula in your current report, document what each number really calculates and which decision it supports, and flag logic that does not do what people think it does.

Source map and crosswalks

Each input is traced to the system that owns it. Projects, jobs and cost codes are linked through a maintained mapping that refuses to guess, with anything unmatched sent to an exceptions list.

Medallion pipeline in Microsoft Fabric

Bronze keeps raw payloads, silver types and validates rows with rejects and reasons, and gold serves a star schema to a Direct Lake semantic model.

Data-quality rules and a publish gate

Automated checks for the things your team catches by eye today. Blocking failures stop the refresh and land on a worklist naming the record and where to fix it.

Power BI report pages

Pages rebuilt around the purpose of each tab rather than its layout, typically covering portfolio, financials, billing and retainage, schedule and scorecard views.

Manual-input design

A structured place, such as SharePoint lists, for the fields no API will ever return, so the spreadsheet does not survive as a second report.

Parallel pilot and handoff

The new report runs alongside the old one until the numbers reconcile, then we hand over runbooks, the repository and a walkthrough for the people who own it.

How it runs

  1. 01

    Free scoping call

We look at your current report, the systems behind it and who uses it, then agree a fixed scope and fixed price in writing.

  2. 02

    Inventory and source map

We document the workbook, map every input to a source and request credentials early, since access is usually the critical path.

  3. 03

    Build the pipeline and gate

Extraction, crosswalks, validation rules and the semantic model are built as code and reviewed with your finance and operations owners.

  4. 04

    Pilot in parallel

The new pages run alongside the spreadsheet for a reporting cycle so differences are explained, fixed at the source or accepted before anyone relies on it.

  5. 05

    Handoff and retirement

We hand over the repository, runbooks and training, and the spreadsheet is retired once your team signs off.

What we need from you

  • A recent copy of the monthly report and any related QA or scoring workbooks
  • Read-only API or database access to Procore and your accounting system, plus any scheduling source
  • A Microsoft Fabric or Power BI workspace, or approval to set one up in your tenant
  • A named point person from finance or operations who can answer questions about the numbers
  • Time from the people who fill in the manual parts of today's report

Not included

  • Write access to or changes in your systems of record; the build only reads from them
  • Microsoft Fabric capacity and Power BI licensing, which you buy directly from Microsoft
  • Cleaning up historical data in Procore or accounting; we flag the records and your team fixes them at the source
  • Ongoing support after handoff unless it is scoped separately

Frequently asked questions

How much does it cost?

It is a fixed scope at a fixed price, agreed after a free scoping call. The price depends on how many systems feed the report, how much of it is entered by hand and how many pages it needs, so we quote once we have seen your current report.

How long does it take?

It depends on your systems and how quickly access can be granted, so we scope the timeline in the call and write it into the proposal. Credentials and gateway access are usually the first thing to request.

Which systems can you connect?

We have built on Procore, Sage 100, QuickBooks Online, Outbuild, HubSpot, SharePoint and Primavera P6 data. If your accounting or scheduling system has an API, a database or a reliable export, we can assess it in the scoping call.

What happens to the parts of the report that no system holds?

We design a structured home for them, such as SharePoint lists with validation, so the people who type them today keep doing so in one place and the numbers flow into the same report.

Do we need Microsoft Fabric?

Fabric is a strong fit when three or more systems feed the report and you already use Microsoft 365 and Power BI. With one source and a few dashboards, a direct Power BI connection may be enough, and we will say so.

Who owns the result?

You do. Pipelines, quality rules, the semantic model and the report definition live in a repository in your tenant, so changes are reviewable and you are not locked in to us.
