Construction reporting readiness checklist

Before automating a report, make the work behind it visible. This checklist helps your finance, operations, and technology owners agree what needs to happen first. Mark each item Ready, Needs a decision, or Unknown. Your answers stay in your browser.

  1. 01Name the report owner.Key prerequisite

    Who uses the report, who confirms the numbers, and who decides a change is acceptable?

  2. 02Identify the decisions.

    List three decisions the report supports. Remove pages that have no clear use.

  3. 03Inventory the inputs.

    For each field or measure, name its source, reporting period, and responsible person.

  4. 04Separate system data from judgment.

    A risk assessment or management comment may require a person even when costs and invoices come from a system.

  5. 05Agree the definitions.Key prerequisite

    Confirm what contract value, cost, billing, paid, forecast, and progress mean for this report.

  6. 06Check the identifiers.Key prerequisite

    Confirm how project IDs, job numbers, cost codes, vendors, and deals link across systems.

  7. 07Show missing records.

    Decide how an unmatched project, unavailable source, or missing estimate appears. A gap should be distinguishable from a genuine zero.

  8. 08Confirm the reporting clock.

    Agree data cutoff, source timestamps, refresh cadence, and acceptable age for each view.

  9. 09Choose reference records.Key prerequisite

    Select a reporting period and records the team can use to confirm calculations and mappings.

  10. 10List the failure cases.

    Include expired access, partial loads, duplicate records, missing pages, and inconsistent dates.

  11. 11Confirm access early.Key prerequisite

    Name the people who can approve APIs, database access, gateways, and reporting workspaces.

  12. 12Plan the handover.

    Decide who operates the pipeline, resolves exceptions, renews access, and maintains report definitions.
