Construction workflows that run the same way every time

Most construction admin is the same steps repeated: chase an approval, remind someone about a log, copy a won deal into a new project, send the Friday update. We build those steps as automations in Power Automate, n8n or Zapier so they run on time, leave a record, and stop depending on who remembers. We also publish our own n8n nodes for Procore, Autodesk and Power BI, with an HCSS node in progress.

    Watches on RFIs, submittals and certificates of insurance that alert before a due date passes, using event triggers where the system offers them.

    Weekly owner updates and recurring report packages assembled from live data and sent on a fixed schedule, with a person approving anything customer-facing.

    Native workflow steps for construction systems instead of fragile hand-built HTTP calls. We publish n8n nodes for Procore, Autodesk and Power BI, have an HCSS node in progress, and build new ones when a system is missing.

How it works

Automation flow: a trigger such as a change order being submitted is checked against conditions such as a cost threshold, routed to a person such as the PM for approval, then actions update systems like Procore and notify people, and every run is logged to an audit trail with alerts on failure.

    Map the current process

    We walk through the workflow as it actually runs today: who does each step, which systems are touched, and where it stalls. That walkthrough is also the baseline we measure against.

    Power Automate if you live in Microsoft 365, n8n when you want self-hosting, custom nodes or more control, Zapier for quick SaaS-to-SaaS links. We use what fits your stack and team, not a favorite.

    Build with guardrails

    Triggers, lookups before creates, approval steps for anything customer-facing or financial, and least-privilege credentials. Failures are logged and routed, never dropped silently.

Frequently asked questions

Should we use Power Automate, n8n or Zapier?

It depends on your stack and who will maintain it. Power Automate fits teams already on Microsoft 365 and SharePoint. n8n suits workflows that need self-hosting, custom construction nodes or more complex logic, and Zapier is quick for simple links between SaaS tools. We recommend one after mapping the process, and we can mix them when that is simpler.

Can workflows react to events in Procore instead of running on a schedule?

Yes, where the system supports it. Our Procore n8n node includes triggers for events such as change events, budget changes and new RFIs, so a workflow starts when something happens. Where no event exists, we use a scheduled check that compares against the last run.

What happens when an automation fails?

Failures are logged with the input and response, retried where it is safe to, and routed to a named person when they are not. Nothing is dropped silently. You can see every run in the platform's history, and for our n8n nodes the dashboard shows the request and response of any failed call.

Will an automation change data in our systems without anyone checking?

Only where you decide it should. Financial changes, anything sent to an owner or customer, and anything involving AI-drafted content go through an approval step by default. Credentials are scoped to what each workflow needs.

Who owns the workflows when the project ends?

You do. Workflows are built in your Power Automate tenant, your n8n instance or your Zapier account, with documentation and a handover so your team can run and adjust them. Scope and price are fixed and agreed after discovery.

Can you automate a system that has no connector?

Usually. If the system has an API we can build a custom connector or n8n node for it, which is how our Procore, Autodesk, Power BI and HCSS nodes started. If it has no API, we look at exports, email or file drops and say plainly what that limits.
