Meeting and job walk transcription tied to the project record

Meetings and job walks are recorded, transcribed, summarized and attached to the project, so what was said and seen becomes searchable project context.

The problem

Decisions get made in client meetings and on site walks, then live in someone's notebook or memory. Notes are written late or not at all, photos sit on personal phones, and when a question comes up weeks later nobody can find what was agreed.

What we build

We add recording and transcription to the project itself. Meetings are recorded, transcribed, summarized and tagged; job walks use an editable checklist with photo, video and audio capture, transcribed automatically and attached to the project when the walk ends. Access follows the project team, and agents can use the transcripts as cited context. This is how it works in Connect, the platform we built for Syncify.

How it works

  1. 1

    Record against the project

Users start a recording from the project, either a client meeting or a job walk, so every recording is filed in the right place from the start.

  2. 2

Capture on site with a checklist

On a job walk the user works through an editable checklist and takes photos, video and audio from their phone. Audio is transcribed as it is captured.

  3. 3

    Transcribe, summarize and tag

Each recording is transcribed and summarized, and the user can tag it. The transcript, summary and media are saved to the project when the meeting or walk ends.

  4. 4

    Use it as project context

Transcripts are indexed with the project files, so people can search them and agents can draw on them, with citations, when drafting info sheets, schedules or client updates.

  • Mobile browser (phone or tablet)
  • Speech-to-text transcription
  • Project file store with vector search
  • Procore or SharePoint
  • Next.js and Python

The value it creates

  • Time saved

Measured by comparing the time spent writing up meeting and walk notes today with reviewing and tagging an automatic transcript and summary.

  • Collective intelligence

What one person heard or saw on site becomes part of the shared project record that the whole team, and its agents, can search.

  • Better decisions

A transcript with a date and the photos alongside it settles what was agreed, instead of competing recollections.

  • Standardization

Walks follow the same checklist and every recording lands on the project in the same structure.

Frequently asked questions

How is this different from a general meeting recorder?

A general recorder leaves the transcript in its own app. Here the recording is filed against the project with the drawings, specs and photos, access follows the project team, and agents can cite it when drafting schedules or updates.

Does it work on site from a phone?

Yes. The job walk is used on site from a phone: the user works through the checklist and captures photos, video and audio there. When the walk ends, everything is attached to the project.

What about consent and privacy for recordings?

Recording rules vary by location and contract, so we agree on a consent practice with you, such as announcing recordings and letting users turn transcription off. Recordings are stored in the agreed environment and visible only to people with project access.

Can transcripts feed Procore or our reporting?

They can be linked or pushed to the system you use, such as attaching summaries to a Procore record or a SharePoint folder. We scope that integration during discovery.
